How our podcast production process works

A clear, repeatable workflow that takes you from idea to published episode with confidence.

Your journey, step by step

We have refined this process over hundreds of projects to ensure consistency, quality, and a stress-free experience for every client.

1

Discovery call

Everything begins with a complimentary 30-minute discovery call. During this conversation, we learn about your vision for the show, your target audience, your preferred format (solo, interview, narrative, panel), and your goals — whether that is brand awareness, community building, lead generation, or simply sharing stories that matter. We also discuss your budget and timeline so we can recommend the right package from the start. There is absolutely no obligation after this call; it is simply an opportunity for us to understand your needs and for you to get a feel for how we work.

2

Strategy and planning

Once you decide to move forward, we develop a detailed production plan. This includes defining your show name and tagline, outlining your first season of episodes, establishing a publishing cadence, and creating a brand identity guide that covers cover art direction, tone of voice, and sonic branding elements like intro music and stingers. For clients on our Professional and Premium tiers, we also build an editorial calendar and identify potential guests or topic angles that will resonate with your audience. This planning phase typically takes one to two weeks and culminates in a strategy document you can reference throughout the life of your show.

3

Recording

Whether you visit our studio in Gatineau or record remotely from your home office, we make the recording process as smooth as possible. For in-studio sessions, we handle all technical setup — microphone selection, headphone mixes, room acoustics, and backup recording. For remote sessions, we guide you through optimizing your environment, provide equipment recommendations if needed, and direct the session in real time over a video call. We record multi-track audio so that each speaker has a separate file, giving our editors maximum flexibility during post-production. Sessions are relaxed and conversational; our goal is to help you sound natural and confident.

4

Editing and production

This is where the magic happens. Our editors remove filler words, long pauses, false starts, and any off-topic tangents, tightening the conversation while preserving its natural flow. We then apply noise reduction, equalization, compression, and de-essing to ensure every voice sounds clear and balanced. Next, we mix in your intro, outro, music beds, and any sound effects or transitions that enhance the listening experience. The episode is mastered to industry-standard loudness levels (–16 LUFS for stereo) and exported in both MP3 and WAV formats. A typical episode moves through editing within three to five business days, and you receive a review copy before anything goes live.

5

Review and revisions

We send you the finished episode along with draft show notes and a timestamp outline. You listen at your convenience and provide feedback through our online portal. We include up to two rounds of revisions in every package — though most clients approve on the first listen. Common revision requests include adjusting music volume, trimming an additional section, or tweaking the show notes copy. Our turnaround on revisions is 24 hours, so your publishing schedule stays on track without delays.

6

Publishing and distribution

Once you approve the final cut, we upload the episode to your hosting platform, attach optimized metadata (title, description, tags, chapter markers), and schedule it for release at the date and time you have chosen. If you are on a package that includes distribution management, we also verify that the episode propagates correctly across Apple Podcasts, Spotify, Amazon Music, and all other directories in your feed. We create social media audiograms and provide you with shareable assets so you can promote the episode across your channels the moment it goes live.

7

Growth and iteration

Publishing is not the finish line — it is the starting point. For clients on our growth-focused packages, we deliver a monthly analytics report that tracks downloads, listener demographics, listening duration, and platform breakdowns. We use this data to refine your content strategy, suggest episode topics that are trending in your niche, and identify cross-promotion opportunities. Over time, this data-driven approach compounds, helping you build a loyal and engaged listener base that grows with every new episode you release.

Frequently asked questions

Answers to the questions we hear most often from new and prospective clients.

Most new shows go from initial discovery call to first published episode in four to six weeks. That timeline includes strategy, branding, recording a trailer and your first batch of episodes, editing, and platform setup. If you already have recordings ready, we can often compress the timeline to two to three weeks.

Not necessarily. If you record in our Gatineau studio, we provide all equipment. For remote recording, a decent USB microphone and a quiet room are sufficient to start. We can recommend specific gear based on your budget, and our editing process compensates for many common home-recording issues.

Absolutely. Many clients start with the Starter package and upgrade as their show grows. There are no long-term contracts — you can adjust your service level on an episode-by-episode basis or commit to a monthly retainer for a discounted rate.

Yes. While our studio is based in Gatineau, Quebec, our remote production workflow allows us to serve clients anywhere in the world. We have produced episodes for hosts in the United States, the United Kingdom, Australia, and several countries in Europe and Africa.

You do. All finished audio files, show notes, and associated assets are your intellectual property. We retain no ownership rights over your content. The only materials we own are our proprietary templates, tools, and processes used during production.
